Mailing List Print Options

Option #1 = Regular - Skip the Inventory Tracking Routine: Will not be limited by the Tracking Routine.
Option #2 = Tracking - Certain Item(s) or Promo #s: Must have purchased certain item. Will be limited to items you are tracking by ISBN #, Author, or Promotion #.
Option #3 = Duplicates - Those with duplicate addresses: Will print all mailing list duplicate entries and tell you how many there are. The names will be sorted by zip code, then by number of characters chosen in the address.
MLP #1 = Regular - Skip the Inventory Tracking Routine
Note: If you are not consistently tying the sales to the mailing list telephone number, the ability to include or exclude certain customers on the mailing list labels, reports, or ASCII files will not be accurate.
Note: Mailing list labels conform to the standard set up by the U.S. Post Office.
Title Line (Ex: Pastor): When printing labels, you may enter a Title Line. Example: "Minister of Music", or "Pastor". Press <Enter> and leave blank and no title line will be printed on labels.
Include Customer Codes: Put in the mailing list customer codes that you want to include on labels, report or ASCII file. If you press <Enter> and leave blank, all codes will be included.
Exclude Customer Codes: Put in the mailing list customer codes that you do not want to include on labels, report or ASCII file. If you press <Enter> and leave blank, no codes will be excluded.
Customer Activity Dates: You may limit the labels, report, or ASCII file by putting in customer activity dates. This looks at the last activity date of the customer and if the date on the last activity is in the range of dates entered, the customer will be included.
Include Zip Codes: You may limit the labels, report, or ASCII file by putting in a range of zip codes. All customers whos zip code is within the range entered will be included. Press <Enter> <Enter> and all zip codes will be included.
Include Cust. who spent over: Enter a dollar amount here and only customer who have spent over the dollar amount entered will be included. Press <Enter> and labels, report, or ASCII report will not be limited by dollar amount. You may print customers who have not purchased anything if you enter a minus dollar amount.
Include Categories: Press <Enter> and will default to 001-199 which will include all categories. You may print a range of categories plus specific categories. Use a comma to separate the specific categories and a hyphen for a range. Example: 51-55,63,70
(C)urrent (L)yr or (T)otal $: When limiting the labels, report, or ASCII file to customers who have purchased a certain dollar amount, you may choose to compare the dollar amount to the current purchases, last year purchases, or the total purchases. Enter a "C" for current, a "L" for last year, or a "T" for total purchases. Defaults to "T", so it you press <Enter> will enter a "T".
Original Setup Dates: Enter a beginning date and ending date (MMDDYY) and all mailing list customers who were setup between the dates entered will be pulled to the labels, report, or ASCII file. Press <Enter> and leave blank and the customers will not be limited by the setup dates.
(L)abels (R)eport (A)scii: You may choose to print labels by entering a "L", report by entering a "R", or create an ASCII file by entering an "A". Defaults to "L". Will display number of records pulled.
Note: The ASCII file created is NAMES.ASC and will be in the BOOK directory.
Note: To find out how many labels will be printed without actually printing the labels, go to Output on the menu bar and choose Forms Printer. Will show the current and default printer name with cursor at New. Enter TEST to print the labels to a file called TEST. Print the labels and you will know how many will be printed. Go back to Output on the menu bar and choose Forms Printer and press <F1> to restore the printer back to print before you print the labels. You may delete from the BOOK directory, the file TEST.
Note: You have the option to print a one or two line report when you enter a "R". A one line report includes the following information:
Name, Address1, Address2, City, State, Zip Code, and Last Activity.
A two line report includes the same line as the one line report and the following information:
Date Opened, Current Transactions, Last Year Transactions, Total Transactions, Codes (Customer Types. Will also include the first two department purchases codes.), and Telephone #.
(A)lpha (Z)ip: Enter an "A" to print in alphabetical order. Enter a "Z" to print in zip code order. Defaults to "Z". The MLP report will print the names in Alphabetical or Zip Code order, then will sort by Zip Code, then sort by Telephone Number so you may see duplicate entries. (You may also print duplicate addresses, Option #3)
<F1> to Continue: Press <F1> to Continue, and you will have the option of printing or quitting.
OPTIONS: (P)rint (Q)uit: Press "P" to print the labels, report, or to create the ASCII file. Press "Q" to quit and exit without printing. Will display number of records pulled. Press any key to exit program.
Note: After choosing "P" to print and you wish to cancel and discontinue printing, press the <Esc> key. A message will be displayed, "Are you sure you wish to kill this Routine? Y/N __" Press "Y" and the program will be canceled. Press "N" and it will continue printing. Some printing may still be in the printer spooler. You will need to turn the power off to the printer.
MLP #2 = Tracking - Certain Item(s) or Promo #s

After you choose the tracking method by entering a "1", "2", or "3", the following screen will be displayed:

Enter the date [MMDDYY ] that the items have been sold since. Press <Enter>.
MLP #2 = Tracking = #1 = By ISBN
After entering in the date that items must have sold since, the following screen is displayed:

Enter all of the Valid Item Numbers for individual items you are tracking. (The items must have Track to "Y"). You may enter up to twenty.
All OK?
Enter "Y" on All OK? and the labels, report, or ASCII file will be limited to these items. A message will be displayed saying there are three sort phases and will show what phase is active. After the sort is completed, the mailing list print screen will be displayed for you to fill in. (See MLP #.)
Enter "N" and will go back to the date item must have sold since.
MLP #2 = Tracking = #2 = By Author
After entering in the date that items must have sold since, the following screen is displayed:

Enter all of the Valid Authors you are tracking. (The items must have Track to "Y"). You may enter up to ten, and must be the same as the Author is entered on the item, except you may use a wild card. Do use a wild card, put in the last name with an asterisk to find all the variations of the name. Example: "OKE*" would find authors OKE, OKE J, OKE J., and OKE JAN.
Enter "Y" on All OK? and the labels, report, or ASCII file will be limited to these items. A message will be displayed saying there are three sort phases and will show what phase is active. After the sort is completed, the mailing list print screen will be displayed for you to fill in. (See MLP #1.)
Enter "N" and will go back to the date item must have sold since.
MLP #2 = Tracking = #3 = By Promotion
After entering in the date that items must have sold since, the following screen is displayed:

Enter all of the Promotion #s you are tracking. You may enter up to ten. The items you are tracking may have a promotion number in the promotion # field, or at the POS, you may put all the items on a transaction on a promotion number.
Note: If any sales have been entered with a "blank" promotion number and tied to a mailing list customer, if you leave a Promotion Number "blank", thoes names will also be pulled.
Enter "Y" on All OK? and the labels, report, or ASCII file will be limited to these items. A message will be displayed saying there are three sort phases and will show what phase is active. After the sort is completed, the mailing list print screen will be displayed for you to fill in. (See MLP #1.)
Enter "N" and will go back to the date item must have sold since.
MLP #3 = Duplicates - Those with duplicate addresses

Enter the number of characters of the address you want to compare. You may enter up to twenty.
"Now reading mailing list" is displayed, then goes through the sort phases. Will tell you how many records have been pulled. Press any key to exit.
The print will be sorted by zip code and will show the following information:
Name, Address1, Address2, City, State, Zip Code, Last Activity
You may then edit the MLM masterfile to delete the duplicate addresses.
