  Enhancements

    Note:    Remember, the latest version of the reference manual is included on your updates and can be viewed (and portions printed if you wish).

1.   Point of Sale

1)          BSMGR increased the maximum number of Points of Sale from 9 to 18.  Contact Bookstore Manager Software to purchase additional Point of Sale licenses, if needed.

2)          The current date is now displayed at the top of the screen in the POS program.

3)          When running the Total Cash Registers (SLTL) program, you will now be asked if the Z-Tape printed correctly and if you wish to add the Z-Tape to the existing totals in the sales journal for the current date.

2.   Point of Sale Transactions

1)      When transacting a credit card sale, the amount of the sale is now displayed in the window that asks for the credit card number.

2)      A new program, SLCC (“Credit Card Report”), allows you to view or print the day’s electronic credit card transactions.  (Currently written for UNIX users only.)

3)      When ringing up a special order, six digits are no longer necessary.  In other words, if the special order number is 7305, you do not have to precede the number with 00.

4)      Special order Deposit entries are now done through POS.  When you enter a deposit amount and select the “Deposit” department key, a pop up screen will ask for the special order number.  The deposit will be automatically entered on the special order.

 

5)       There is now a shortcut to choosing department keys when ringing up a sale.  Enter the amount plus a slash (/) and the two-digit department key number, or if you do not know the number, press <Enter> to choose a department key.   (Ex:  500/23 means $5.00 on Department 23)

Note:   If your store has set up item numbers with slashes, you will need to get rid of the item number slashes or enter an Environment setting to turn off the shortcut:
         UNSTRING-AMOUNT   N

6)      A new program, SLTR (“Sales Transactions”), allows you to view a customer's POS transactions that are saved automatically when SYS Config File, Change Misc. Configurations, number 4003 (“Save All P.O.S. Transactions?”) has been set to “Y” for yes.

          Since these saved transactions use up to 75 lines per transaction, you will periodically need to run the new SLTD (“Transaction Deletion”) program to clear the file of older transactions.

3.   Order Entry

The listing order of items rung up in the Order Entry list box has been reversed.  The last item rung up is now the top line in the list box.

4.   Inventory

1)            A new <F5> option in IVO, “Send Electronically,” is a shortcut that allows you to prepare the order, send it and print the confirmation in one action.  After having made the purchase order, this option eliminates the extra steps of preparing the electronic order, sending it through the COMM program, and printing the confirmation through the IVIC program.

2)            A new field has been added to the IVO General Information Screen for entering special instructions (“Spl Instructions”) when preparing a purchase order.

3)            When making a change to an item in IVO and receiving an item in IVPR, the highlighting bar in the item list box returns to that area of the list box, rather than reverting to the top of the list.

4)            In IVPR if you use a blazer barcode printer, you will be prompted to answer if you wish to print labels as-you-go while scanning in received items.

5)       A new option in IVPR, "Receive by Scaning/No P.O.," allows for receiving items with no purchase order on file.  This could be useful for a company such as Dickson.

Note:   This routine does update the last invoice fields in IVM.

6)            In the “P.O.#” field in IVOP, you may print all purchase orders for the day by entering the date plus four zeros.  (Ex:  9907290000)

Note:   In addition to the headings Item #, Description, Author, Price, etc. on a printout of a purchase order, a heading for Binding (BI) has now been included.

7)      IVUL, number “12 Multi-Store Title Compare” can now be limited to one category by entering the category code in the new “Limit To Category” field.

8)      There are two new utility options in IVUL:

·        26  Clear Will Call in Arrears  will clear any negative amounts that might have been inadvertently entered into “Will Call.”

·        27 Change Cost by Vendor #  will change discount and cost on all items in your inventory for the vendor you select.

9)      IVIC can now automatically adjust purchase orders from multiple acknowledgments in either X-12 or BISAC format.  Enter <XNET> in the “Enter Vendor #” field for a list of acknowledgments downloaded from X-Net.

10)      IVHR (“History Roll”) has two new options:

 

a)      Allow Min/Max to Increase

When History Roll is run, if this field is checked, the Min/Max will increase.  (Limitation: Will not increase on discontinued items.)

b)      Weekly With Min/Max Changes

This option sets the Min/Max to the last eight weeks of sales. 

Limitations: 

Note:   Traditionally, min/max has been set on a monthly basis, determined by how the cash register department turnover has been set (Tables 1-8).  Now, if min/max of some departments need to be set based on a shorter turn-around time, you can set the turn field in those departments to 9, which means you use the weekly history roll for those departments.  Therefore, if some departments are set up this way, you will need to run both the monthly and the weekly history rolls with min/max changes.

To use this feature, enter a 9 in the “Turn” field when you set up these shorter turn-around departments in the System Config File, “Cash Register Config.”

11)             Another new feature in IVHR is the capability of scheduling the history roll to run automatically.  Instead of having to remember to run the program manually, you can now instruct the operating system to run it weekly (Ex: Saturday nights) or monthly (Ex:  First day of every month).  You can verify that it has run and finished by selecting the “View Prior Results” option when you open the IVHR program. 

If you use this feature, SYStem Configuration number 2092 should be set to “N” to turn off the message windows that pop up concerning IVHR.

Note:   Unix, Windows NT, Windows 98, and releases of Windows 95c or later will support this feature.  If you have an earlier release of Windows 95, you would need the add-on, Windows 95 Plus, for the “Scheduled Tasks” program.  See Bookstore Manager’s support website, http://help.bsmgr.com, "Automating Inventory History Roll Setup Information," for the detailed setup instructions for this feature.

12)    In addition to showing the distributors who carry an item, the “Distrib.=F7” command button on the IVDI inquiry screen now shows each distributor’s pricing and discount information.

13)    In IVWO the Vendor Detail screen now includes the current year sales history of the items listed on a work order. 

 

Other enhancements in IWVO Vendor Detail include:

·        The Re-Display=F11 command will switch the order of listed items by item number, title, and now in order of binding by title as well.

·        The “Options=F5” command has a new option, “View Dist. Prices,” which allows you to compare pricing and discount information of distributors that carry the items.

 

14)    IVDC  ("Database Compare") is a new program that allows you to match the information in your store’s inventory with the information on the databases included with Bookstore Manager Software, thereby changing prices, etc . and preparing labels to be printed.

·        You have the option of choosing to use the Christian Books & More price or to use the highest price listed by either CB&M or Distributors. 

·        This program can compare the spelling of titles and authors and change your inventory titles, authors and bindings to match the Christian Books & More database.  If your store uses special prefixed titles to denote different types of accompaniment tapes, videos, and Bibles, you may not wish to use this option of the program, or you may wish to modify it in SYS, Config File, Change Misc. Configurations, number 2093. 

·        You also have the option of skipping inventory items that are stocked in multiples.

If there are certain publishers you wish to exempt from the IVDC changes, you may do so at the IVVM (“Vendor Maintenance), “Use IVDC Change?” field

You may run this program as often as you wish.

15)    In IVM you can now create an item number for an item that has no ISBN number.  Enter 999 and press <Enter>.  The number will consist of the 999, plus a six digit number according to what you have set up as a beginning number for “Item #” in the CREATE program, plus a one digit check number.  (Example:  9991234561)

5.   SYStem Environment

 When opening SYStem Environment, there are now three options:

1)          Store Environment  (Formerly just Environment)

         This option sets the Environment for all stations.

2)          User’s Station Environment

          Use this option to override the store environment at a user’s station.  This saves having to use the autoexec.bat or .profiles.

3)      Sort Environment File

         This option allows you to sort the Store Environment file in alphabetical order.

6.   Christian Books & More Database (CB&M)

Bookstore Manager Software now includes the CB&M database, as well as the Distributors database (currently including Arbor, Riverside, Appalachian, Anchor, and New Day).

7.   Environment Settings for Shortcuts for “Add” and “Delete”

 When in a paged list box in the IVWO, IVO, OE, POS, GLE, and TIME programs, you may highlight an item and use the keyboard “Insert” key for “Add” and “Del” key for “Delete,” by entering the following settings in Environment:

8.   SYStem Configurations

A number of SYStem configurations have been added.

1)            Config. Number 2009 (“Use [S]PCN or [U]PC on Music/Gifts”) is used to determine the main item number when adding new gift and music items to inventory from the CB&M database.  You may choose to use either SPCN (S) or UPC (U) as the main item number.

2)        Config. Number 2091 (“Use On-[H]and or [V]endor 1 on Labels”) gives you the option of printing On-Hand quantity (H) or Vendor 1 assignment (V) when you print price labels in IVL (“Inventory Labels”).  The default is (H).

3)        Config. Number 2093 (“Use AC-, V-, B-Tran, prefix in IVM? A/V/B/Y/N”) gives you the option of modifying the changes produced by IVDC (“Database Compare”) and new titles through IVM (“Inventory Maintenance”), if your store uses special prefixed titles to denote different types of accompaniment tapes, videos and Bibles.  (A=Accompaniment Tapes, V=Videos, B=Bibles, Y=All, N=No modification.)

4)            Config. Number 4001 (“Display A/R Credit Info in POS?”) allows you to prevent Accounts Receivable credit information from being displayed on the screen during a Point of Sale transaction by entering “N” for no at this configuration field.

5)        Config. Number 4002 ("Print CrCrd# on Sales Tape") allows you to suppress printing customer credit card numbers on sales receipts if you have entered "N" for No in this field.

6)        Config. Number 4003 (“Save all P.O.S. Transactions?”) allows you to save POS transactions for viewing through the new SLTR program.

7)        Config. Number 4004 (“Tab to Area Code at P.O.S.?”).  Answering no (“N”) allows you to skip the area code field if the default area code applies to the majority of your customers.

8)        Config. Number 4005 (“Non-Inventory Database Params”) allows you to use the database to ring up non-inventory items.

         Enter “Y” at the “Read Database for Non-Inventory Items?” field.  Then enter the appropriate department numbers in the other fields.

            At POS, a non-inventory item found in the database will ring up with an asterisk (*) preceding the item description and the sale will go to the appropriate department as set up here.

9)            Config. Number 4016 (“Log Mail List Skips at POS”) allows you to log the identification of employees who skip the mail list phone information request by entering “Y” for yes at this configuration field. This information will print out on the grand total Z-tape.

10)        Config. Number 4054 (“Keep a POS Void Log? Y/N”) allows you to void typical sales by transaction number, with the following limitations:

a)      Running the SLTP program purges up to the last five days of sales.  Therefore, to void by transaction number, the sale must have taken place within the past five days.

b)      You cannot void certain transactions by transaction number:  

11)        Config Number 4055 (“Light Pole Message”) allows you to enter a short message that will appear on your light pole.

12)         Config Number 7015 (“Display ‘Are You Sure?’ on Deletes?”) allows you to turn off the “Are You Sure?” warning feature that pops up on deletions by entering “N” for no at this configuration field.

9.   Search Path for Databases

When adding items to your inventory or making an inquiry on an item, BSMGR will try to match the item number with title, price, etc., using all the databases on the system.  In prior versions, we only checked BSMGR’s or Ingram’s databases.

The first database will be searched and, if the item is not found, the search will continue in the next database.  By default, the search order is:

·        Christian Books & More Database.

·        Distributors database file (currently Arbor, Riverside, Appalachian, Anchor, and New Day).

·        Ingram PROfiche Database (if you have purchased this from Ingram).

·        Any miscellaneous databases you may have installed.

To override the default search path requires making a SYStem Environment setting as follows:

(Note:    If you do not have the Ingram database, DO NOT override the default search path.)

DATABASE-SEARCH-ORDER     X          (where X = 1 or 2)

If X = 1 then search order is CB&M, Distributors, Ingram, Misc.
If X = 2 then search order is Ingram, then Misc.

 

10.   Significant Changes to Database Inquiry (IVDI)

1)            There are separate files for various types of product (Books, Bibles, Music, etc.).

2)            You do not have to key in the full name to search by author (Contributor) or artist.  The first letter(s) typed jumps to a list box in the alphabetical range of the letter typed.  (For example, when you type in an O, the list box jumps to last names beginning with O.  Add K and E, and the list box jumps to Oke, Barbara; Oke, Deborah; Oke, Janette, etc.)

3)            Some products can be searched by Series.  (Example:  “Left Behind” series by Tim LaHaye and Jerry B. Jenkins)

4)            You may narrow Book searches by using up to three categories.  (Examples:  Selecting a search for a book concerning Prayer, Women, and Devotional would seek prayer/devotional books specifically for women.  Selecting Prayer, Women, or Devotional would seek any books concerning prayer, any concerning women, and any devotional books.)

5)            The search by author may bring up books in which the author searched is not the primary author.  Books are entered into the CB&M database with up to three contributors.  (Examples:  author, author, editor or author, illustrator, editor)

6)            When performing a music search, the search can be limited to Recorded, Accompaniment or Printed and further limited by category. (Example:  Select the Classical category under Recorded Music, and only classical titles of recorded music will be searched and displayed.)  

7)        Using the Promotions option, you can search for titles that have been released recently or are due to be released in the near future.  Also, a publisher’s general promotions, such as “Free Freight on orders of $200 this Month,” can be viewed.

11.   Installation Instructions (DOS)

1)            Install the new programs and utilities onto your server, at the DOS prompt, assuming D: = CD-ROM and C: = Server Hard Drive, type in:

D:\INSTALL     D:     C:

This batch file performs the following tasks:

             CD   \BOOK

            \ETC\XARC   D:\BOOK610.ARC   /o

 

            CD   \CBL

            \ETC\XARC   D:\CBL610.ARC   /o

 

            CD   \BKHELP

            COPY   D:\BKHELP\*.

 

If you have a non-standard BSMGR setup, change the CD commands to the appropriate directory locations on your computer/network.

 

2)         Insert the floppy “New Book Dir. Files for 6.1” in the server.  At the Command Prompt, go to the BOOK directory and type in “A:\INSTALLA” or “B:\INSTALLB.”

3)         Run the conversion program by entering CONV610 at the BSMGR “Enter Program Name” prompt.  (This only takes a few seconds.)

4)         Do system maintenance and configuration shown in steps 7, 8 and 9 above.

Before using the new database, you must direct BSMGR to the location of the database files.

1)       In SYStem Environment, “Store Environment” option, indicate the location of the database files based on their location.  If you have enough room to copy the database files to the same hard drive as BSMGR, insert the following line:

CBMDATA-DIR         \CBMDATA

 If you need to access the database files from the CD-ROM, insert the following line:

               CBMDATA-DIR         D:\CBMDATA         (Assuming D: is the CD-ROM drive)

Note:  If you specify a drive letter here, all computers in the network should map the CD-ROM drive as the same drive letter (D: in this example).

2)      If one or more stations do not see the CD-ROM as drive D:, each station may override the drive setting in the Store Environment by using the “User’s Station Environment” option in SYStem Environment to insert the setting of the CD-ROM drive number that it recognizes.

Note:   For stores with multiple stations using DOS computers, “SHARE” must be loaded on the server in order to share the CD-ROM.

3)      To copy the database from the CD-ROM to the server, at the DOS prompt, assuming D: = CD-ROM and C: = Server Hard Drive, type in:

XCOPY     D:\CBMDATA     C:\CBMDATA                /S /E /V

 

12.   Installation Instructions (SCO Unix)   

    Note:    Remember, Unix is case sensitive.

1)   Install the new programs and utilities onto your server.  With everyone out of BSMGR, log in as root.  At the # prompt, type in:

updatecd             (if this gives an error, type in:  /usr/scripts/updatecd)

Run both options from the menu.

2)   Insert the floppy “New Book Dir. Files for 6.1” in the server.  At the Command Prompt, go to the BOOK directory.  Log in as root and type in “update6.”

3)   Run the conversion program by entering CONV610 at the BSMGR “Enter Program Name” prompt.  (This only takes a few seconds.)

4)   Do system maintenance and configuration shown in steps 7, 8 and 9 above.

Before using the new database, you must direct BSMGR to the location of the database files. 

In SYStem Environment, “Store Environment” option, insert the following line anywhere:

CBMDATA-DIR               /bsmgr/cbmdata

 

13.    Installation Instructions (32-bit Windows)

1)   Install the 32-bit Windows runtime CD onto your server.  When you insert the 32-bit Windows runtime CD into the drive, it should “autorun” the setup program.  If it does not, click “Start | Run” and type in, “D:\SETUP” where D: is the drive letter for the CD-ROM.

 

 

Make sure you choose the correct destination drive letter.  This tells the setup program which directory should have the new programs.  If you choose the wrong drive letter, you will get “missing .DLL” errors when trying to use the new Windows communication programs; some other features will not work at all, such as the Image, Table of Contents and Preview Text viewer in IVDI.  Once you click the “Install” button, the setup program will start copying the files from the CD-ROM to the indicated destination drive.

2)   Next, install the “Communication Program Update” disk(s) onto the server following the instructions printed on the disks.

3)   Next, install the Version 6.10 upgrade CD onto the server.  When you insert the 32-bit Windows runtime CD into the drive, it should “autorun” the setup program.  If it does not, click “Start | Run” and type in, “D:\SETUP” where D: is the drive letter for the CD-ROM.  You may see the following message:


This is the program telling you where it first found a copy of BSMGR.  You can change the installation drive letter on a later screen.





The setup program defaults to a “Full” install.  This will copy all the items checked in the box on the right side of the screen.  If you choose a different “Installation Type,” the items in the box on the right will have a check mark to indicate if it is being installed.  If you do not have enough room on the selected drive, the “Free” and “Install” details will be shown in red and the “Install” button will be disabled.  Once you click the “Install” button, the setup program will start copying the files from the CD-ROM to the indicated destination drive.

4)   Finally, insert the floppy “New Book Dir. Files for 6.1” in the server.  At the Command Prompt, go to the BOOK directory and type in “A:\INSTALLA” or “B:\INSTALLB”.

5)   Run the conversion program by entering CONV610 at the BSMGR “Enter Program Name” prompt.  (This only takes a few seconds.)

6)   Do system maintenance and configuration shown in steps 7, 8 and 9 above.

 
Before using the new database, you must direct BSMGR to the location of the database files.

Note:  If you specify a drive letter here, all computers in the network should map the CD-ROM drive as the same drive letter (D: in this example).
