TIME - TIME CLOCK

This is an optional program.

Call Bookstore Manager if you want this program.

The TIME CLOCK allows employees to clock in/out on any terminal that is in BOOKSTORE MANAGER by using the TIME CLOCK function on the MENU BAR. Access the menu bar to TIME CLOCK and press <Enter> to bring up the Bulletin Board Message and a Punch In/Out window. The TIME CLOCK will keep record of hours worked by employees and total the hours for each employee and also give company totals.

To set up TIME CLOCK type in "TIME" at the select option prompt of BOOKSTORE MANAGER. You will be asked for a Master Password. The Supervisory Menu will be displayed.

1 = Maintain Employee File - You will be able to Maintain Employee File by adding, changing, or deleting employees.

2 = Bulletin Board Maintenance - You can change the Bulletin Board information that comes up each time an employee clocks in or out.

3 = Edit Time File - You can Edit Time File by changing entry, inserting a time clock, or by deleting a time clock entry.

4 = Payroll Report - You can display or print a Payroll Report within a chosen time period.

5 = Purge Time File - You can Purge Time File and leave all clocks from a chosen date.

Enter a pre-assigned Employee Number and enter the Employee Name last name first.

An employee may clock in using the assigned number or the first letter of his last name.
(If more than one employee has the same letter, the employee next in alphabetical order will have to use the first two letters of his last name.)
<F1> will display employees already on file. You cannot enter a number already on file. An Error Message will come up saying "Number Already In Use".

You must assign a name to the number. If a name is not entered, an error message is displayed, "Employee must have name. Press any key to continue." The cursor will go back to the employee number field.

All ok? Y/N

"Y" will accept the information.

"N" information may be changed.

2 = Change Employee

The same screen will come up as for "Add Employee". You may enter the Employee Number and change the information. <F1> will display employees already on file. If a number not in use is entered, an error message will be displayed "Number is not in use. Press any key to continue." The cursor will go back to the employee number field.

All ok? Y/N

"Y" will accept the information.

"N" information may be changed.

3 = Delete Employee

The same screen will come up as for "Add Employee". You may enter the employee number and delete the employee information. If a number not in use is entered, an error message will be displayed "Number is not in use. Press any key to continue." The cursor will go back to the employee number field.

All ok? Y/N

"Y" will accept the information.

"N" information may be changed.

Press <Esc> to exit back to the Employee Maintenance Options

Press <Esc> again to go back to the Supervisory Menu Options.

Time #2 = Bulletin Board Maintenance

Enter the Bulletin Board Message you want your employees to read as they clock in/out. There a six lines with forty-two characters to a line that you may use.

Press <Esc> to Exit and an Options Box will be displayed:

Press "S" to save the information entered on the bulletin board.

Press "Q" and the information or changes to the bulletin board will not be saved. The bulletin board will be the same as it was when brought up.

Enter the employee number, or press <F1> to Search for number, or enter the first letter of employee's last name and the employee name will come up with all clocks in/out on file.

<Ins> to Insert

You may press <Ins>, the Insert key, and a window will come up for that employee. You may then enter in a clock that was missed. You may enter the date, time, and if clock is an in or out.
(TIME CLOCK entries are entered using military time for the hour (1 through 24) and 60 minutes for the minute entry.)

Example: 6:45 P.M. will be entered 1845. A zero means in, and a one means out.

<Enter to Change

You may highlight an entry, press <Enter>, and the clock entry will come up. You may change date, time, and/or if clock was an in or out. A zero means in, and a one means out.

<Del> to Delete

You may highlight an entry and press <Del> to delete an entry. A line will come up asking if you are sure you want to delete this record. Enter "Y" to delete the record. Enter "N" to retain the record.

<Esc> to Exit

Press <Esc> to exit the employee information and be able to edit another employee.

Press <Esc> at the employee code field to return to the supervisory menu.

 

Time #4 = Payroll Report

Enter the Starting Date and the Ending Date you want on your report.
<F1> will print the report and <F2> will display it to the screen.
The report will give you employee number, name, and tell you the amount of time worked for each in and out and the total time for each employee.
If there are any errors for an employee, the time will not be totaled and Errors on Time Card will be displayed. The report will also give you total hours worked for all employees unless there are errors on time card for an employee.
(The time on this report is in military time. The hours being from 1-24, and the minutes from 1-100.)

Enter the date of the oldest date to keep. All other entries before that date will be deleted.

When an employee clocks in/out the bulletin board comes up with the information you have entered and also the Punch In/Out window.
