GLAP - COPY PAYABLES JOURNAL

When the GLAP program is chosen, "Are You Sure? Y/N __" is displayed. Choosing "N" will cancel the program. Choosing "Y" will go to the GLAP options.

1 = View A/P Jrnl Contents: You may bring to the screen and view everything in the A/P Journal.

2 = Transfer All Entries to the General Ledger. Everything in the A/P Journal will be transferred to the General Ledger.

3 = Transfer Entries by Date. You may transfer entries by date.

"GLAP" enters accounts payable information into the General Ledger. Be sure all information pertaining to the month closing is in the General Ledger before you close out the month.

The A/P Journal file is the holding file for all transactions that occur in the Accounts Payable Entry "APE", Pay By Due Date "APDD", Pay By Item "APBI", and Accounts Payable Merge Recurring Entries "APRE". This file will continue to build until you run the Copy A/P Journal "GLAP". When you run the "GLAP", the A/P Journal information will be transferred to the General Ledger Transaction File in the way chosen.

The view of the GLAP file looks like the following:

First Column is the general ledger account number that will be debited or credited.

Second Column is the journal where the entry was made.

Third Column is the invoice/credit memo/check run number.

Fourth Column is the date of invoice/credit memo/check run/date check voided.

Fifth Column is the debit or credit amount that will be posted to the account.

Sixth Column is the name of vendor to be paid/credited. A check run will show Cash Disbursement, a voided check will show Void Chk #XXXXXX.

Seventh Column is the date to be sent to the general ledger if sending by date. The date that invoices/credit memos will be sent to the General Ledger is the same as the date of invoices/credit memos. Check runs will be the date checks were written. Void checks will be the day the check was voided.

Eighth Column is the vendor number.
