Print A/P Jrnl Contents
This option will print everything in the A/P Journal to the screen or to the printer. The information will appear as follows:
First column is the General Ledger account number that will be debited or credited.
Second column is the journal where the entry was made.
Third column is the invoice/credit memo/check run number.
Fourth column is the date of invoice/credit memo/check run.
Fifth column is the debit or credit amount that will be posted to the account.
Sixth column is the name of vendor to be paid/credited. A check run will show "Cash Disbursement" and a voided check will show "Void Chk #XXXXXX."
Seventh column is the date to be sent to the General Ledger, if sending by date. The date that invoices/credit memos will be sent to the General Ledger is the same as the date of invoices/credit memos. Check runs will be the date checks were written. Void checks will be the day the check was voided.
Eighth column is the vendor number.
Transfer All Entries to G/L
Everything in the A/P Journal will be transferred to the General Ledger.
At the "You are about to post A/P Journal to account period XX" message, select OK. An audit trail will be printed. The printed report looks somewhat different than that printed to the screen; for example, a batch number will print at the top of the report, and a number representing the date and vendor account number will print following the description.
Transfer Entries By Date
You may transfer entries by date.
Enter the beginning and the ending dates you want transferred and select OK.
GLAP enters accounts payable information into the General Ledger. Be sure that all information pertaining to the month you are closing is in the General Ledger before you close out the month.
The A/P Journal file is the holding file for all transactions that occur in the APE ("Invoice Entry"), APDD ("Pay By Due Date"), APBI ("Pay By Invoice"), APRE ("Post Recurring Entries") and APCP ("Print Checks") programs. This file will continue to build until you run the GLAP program. When you run the GLAP program, the A/P Journal information will be transferred to the General Ledger transaction file in the way that is chosen.
